One of the challenges our clients face when looking to host a meeting abroad is who supplies the AV. Many hotel venues have their own in-house AV or a preferred AV supplier. Sometimes this works great but often the cost and be quite high and the outcome is not always as desired. This is what happened…
During an event in Berlin this week, our client had originally commissioned the hotel to supply AV for a small meeting with a member of our team onsite to coordinate the delivery as well as assist with PowerPoint and presentation support.
As the planning for this job progressed, it turned out the hotel was not offering the same level of support that we would normally do and so the client looked to use to assist with the full AV solution.
Over a short 2 week period, we liaised with our client on the best solution.
We supplied a 4.5m wide, 2.7m high backdrop with 2.4m 16:9 screen. There was also a small 2m stage with a lectern and some LED uplighters to give the set some flare. For sound, a two-speaker system with two radio mics and a cable for PC sound from the presenter's laptop; For video, we provide a 3,000-lumen projector fit with a stand that's capable of front & rear projection, with all the necessary cables & remote slide advancers. Two general techs and one PowerPoint technician also flew out to provide A/V assistance for this job.
We frequently create 3D renders of what the set/staging will look like. This also helps our clients identify the number of tables/delegates that can fit in the room.
